Role Purpose: The Khalsa Aid International (KAI) Compliance Officer will be a committed leader at the helm of our Governance/Compliance Team. The compliance officer plays a pivotal role, ensuring that KAI adheres to external and statutory regulations, best practice and internal controls. The incumbent will work closely with a network of leaders to define and implement improvements to data quality processes and promote a strong governance and compliance culture. The Compliance Officer will be tasked with developing the organisation’s policies, creating metrics to help track compliance and conduct compliance audits. The Officer will also be responsible for studying regional laws where KAI operates globally and ensure that the organisation conducts its projects according to new regulations that arise.
Objectives:
- Responsible for compliance policies and protocols on behalf of the organisation.
- For data protection, responsible for information governance and data protection and ensuring related regulations are complied with.
- Provide specialist advice and recommendations across a range of legal, compliance and data protection topics.
- Develop and implement a risk register, risk management and compliance program to ensure the organisation operates in accordance with UK laws initially and then globally where the organisation operates.
- Undertake risk assessments and develop risk management solutions.
- Determine compliance metrics and establish a system for tracking them.
- Sign off on any marketing and advertising collateral to ensure it is compliant with regulatory requirements.
- Remain up to date on laws related to the organisation and review and update policies accordingly to ensure consistency with relevant legislation, best practice and donor requirements; establish a system of periodic review and revision of such policies.
- Perform compliance audits to determine whether established protocols are being followed and where they can be improved.
- Respond to any regulatory requests and ensure external regulatory reporting is accurate and done on time in accordance with regulations framework.
- Maintain up to date written documentation and policies related to the organisation’s core activities.
- Create compliance resource library for staff members to reference.
- Create and deliver training programmes for staff and other relevant members to understand key compliance requirements and changes as they arise.
- Help optimise processes, for example, automation of existing manual processes.
- Be a thought leader on KAI Governance and Business Code of Conduct and always act with integrity and due diligence on all matters.
- Continually looking for innovative ways to make improvements based on the latest trends and research in compliance.
- Effectively managing stakeholders and external providers on all compliance matters.
- Ensure regular reporting on the data, legal, regulatory and compliance risk framework.
- Have an excellent understanding of the legal and regulatory context that KAI operates in and provide support to prioritise and action key focus areas.
Skills & Experience Required
- 5+ years prior experience in risk management or compliance roles in the UK regulatory context, preferably in a charity or NGO.
- Qualification – legal qualification or comparable experience in relevant area of law- data protection, commercial and contract law.
- Demonstratable understanding of legal and regulatory context within with charities and KAI operate gained through experience in a similar environment.
- Good knowledge of Data Protection legislation, rules and best practice.
- Practical experience of data protection compliance in practice – subject access requests, impact assessments, data security and breach management.
- Superior attention to detail and able to quickly identify and correct risky practices.
- Strong communicator capable of expressing clearly whilst speaking and in writing.
- Strong collaboration skills and ability to be open to suggestions from team members.
- Exemplify strong knowledge of protocols and best practices.
- Excellent analytical skills with a proven ability to interpret complex documents and policies accurately and swiftly.
- Excellent organisational and time management skills.
- High degree of IT literacy, with good experience of using Microsoft Office (Word, Excel, Outlook, PowerPoint). Excellent document and formatting skills.
- Demonstrate a strong moral code and ethics.

Role Purpose: Khalsa Aid International (KAI) is looking for a part time (20 hours) Admin Assistant to work with the UK Operations team. The role will involve assisting the team to fulfill the humanitarian projects and missions that KAI manages.
The successful individual will work on all the different projects our team supports and be responsible for a variety of tasks, both large and small. You will be a vital part of a lean team where every member counts.
The role will suit recent graduates or those in their early career years with 2-3 years’ experience in an office environment.
Objectives:
- Project Proposal Development: Assist in crafting compelling project proposals, including aims and objectives, methodologies, funding requests, budgets, and sustainability plans.
- Notion (IT System): Develop and then utilize your knowledge of the Notion system to create new pages, link them effectively, and develop databases, tables, and templates to streamline our project organization. Training will be provided.
- Country Research and Risk Assessment: Conduct thorough research on countries where we operate, compiling comprehensive “Country Pack” documents. Utilize Cap Travel Assistance and other official sources to conduct risk assessments for each deployment.
- Volunteer Communication: Maintain clear and consistent communication with volunteers, keeping them informed, prepared, and equipped with the necessary training for potential challenges encountered during deployments. Utilize email, Microsoft Teams, social media and volunteer management system for communication.
- Travel Risk Management: Prepare detailed risk assessments for each project, ensuring every team member is fully aware of potential risks and associated mitigation strategies.
- Data Management: Utilize Signable system to automate document signing processes. Review and organize data collected during deployments, which may range from beneficiary lists to technical reports.
- Data Analysis and Presentation: Extract key data points and utilize Notion for recording. Generate impactful presentations using PowerPoint and Excel, with an understanding of the potential for incorporating other relevant tools in reporting.
- Project Reporting: Compile comprehensive project reports at project completion or after significant milestones. Reports should detail project activities, progress against Sustainable Development Goals (SDGs), and outline next steps.
- Meeting Management: Schedule and organize meetings, ensuring efficient communication and project progress.
- Mission Bag Management: Maintain inventory control of mission bags, track assignments, and manage check-out procedures.
- Travel Itinerary: Create and manage travel itineraries, ensuring clear tracking of team members entering and exiting project countries.
